How to Maintain Glossaries

 

 

Glossary text is second-level information accessed from a help screen.  You can add new links between existing help text and existing glossary text.  In addition, you can create your own glossaries and link them to existing application screen help.

View a List of Glossaries Currently Defined

A list of all glossary names can also be obtained by placing a cursor in the Glossary field on the Help Text Maintenance Detail screen and pressing F4. 

1.   Access the Help Facility Menu and select the Glossary Inquiry option.  Leave the Screen Name and From Field fields blank.

2.   Press F4.  A list of glossary descriptions will be displayed.  Use the roll keys to view the entire list.

3.   To view the glossary text (and to determine the screen identifier for the text), select one of the listed glossaries and press ENTER

Print Existing Glossary Text

1.   Access the Help Facility Menu and select the Help Text Listing option.

2.   To request the text for a single glossary, enter the glossary name in the Screen Name field. 

To request the text for all glossary entries, enter GY as the module name and select help for a single module.

The batch job to create the report is submitted automatically.

3.   Route the finished job to the appropriate printer output queue.  Note that the report name is HP500.

Link a Glossary to an Existing Help Screen

1.   Access the Help Facility Menu and select the Help Text Maintenance option.  At the Screen Name prompt, enter the screen identifier for the existing help screen.

2.   Move to the area of the existing help where you want to attach the glossary.  If you know the 8-character Help Tag associated with the field, you can enter that tag on the menu or search for it using the Scan For Tag field on the maintenance screen.  If you do not know the field name, you can use the roll keys to move through the text.  

3.   Make sure that there is a Y in the Highlight field (labeled H);  you can only attach glossary text to help lines that are highlighted.

4.   Place a 2 in the Select field for the line and press ENTER.

5.   When the Additional Information window is displayed, type the glossary name in the Glossary Name field. 

6.   Press ENTER to return to the detail screen.

7.   Press F19 to record your changes.

When the help screen is accessed, a blank line will appear to the left of the highlighted line.  When the user enters an X in that blank and presses F11, the program will display the glossary text that was indicated in the field for the corresponding help text record.

Create a New Glossary

The procedure for creating a new glossary is identical to the procedure for creating help for a new screen.  Note:

1.   The screen name for a glossary must begin with GY.

2.   The first line should be blank.

3.   The "Glossary" field on the first line should equal the "short name" for the glossary.  (For example, the short name for GYPARTTP is PARTTP.)
