Automatic Reconciliation of Synchronization Data - Purpose

The Automatic Reconciliation of Synchronization Data program (GA205E) compares Synchronization data provided by the customer with the data defined in Synchro and lists discrepancies on a report.  Synchronization data is maintained simultaneously by the customer and the supplier.  Vendors' shipments and customers' receipts are compared and a delivery advance/backorder status is calculated for each item/delivery point relationship.  The data transmitted by the customer together with the delivery request in the DELINS message (see program description GA210E) are the Synchronization date, the last shipment number (given by an AVIEXP message number), and two out of the three following elements:

·      cumulative expected quantity

·      cumulative received quantity

·      delivery advance/backorder (cumulative quantity received minus cumulative received)

The vendor's (user's) Synchronization data is maintained within Synchro in the Item/Delivery Point Master (GA120M2).  The data contains information about the items shipped (DPTSHP) compared with those items that should be shipped at the end of the day (DPTSDU) in order to meet the customer's delivery requests.  A negative difference (DPTSDU - DPTSHP) corresponds with a delivery advance; a positive difference means that there are still some shipping proposals left to be shipped in order to satisfy the client's requirements.  A negative value is saved as a positive value in the backlog quantity field (DPBLQ) on the Item/Delivery Point Master (GA120M2).

The reconciliation process verifies that the:

·      cumulative quantity received by the customer and the

·      cumulative quantity shipped

are equal up to the shipment specified by the customer together with the reported quantity received.  If other shipments have been made since then, but have not been accounted for by the customer, the system examines the shipping list sequence and subtracts the recent shipping list quantities from the cumulative quantity shipped in order to compare the data at the same level.

If there is a difference, a message is printed at the end of the daily batch.  No automatic modification of the cumulative quantities is executed.  The user must interface through the Synchronization Data Maintenance program (GA180E) or the Customer Status Inquiry (GA960E, only if authority is granted on category G23) after analyzing the cause of the difference.
