This screen is used to enter or display the transactions of the journal identified on the Intercompany Journal Header screen. In addition, this screen displays journal header information and the current item count, debit amount, credit amount, and quantity amount totals.
The transactions entered on this screen can be posted to the books of multiple company/locations. The company/ location shown at the top of the screen is the default value for every account line. It was entered on the header screen. For balancing entries that will be posted to the accounts in other company/locations, you must enter the company/location on the detail line.
COMPANY/LOCATION
Display only. The company and location specified on the header screen. This company/location is the default for all detailed entries made on this screen. Since this is an intercompany journal, the debits/credits posted to the default company/location are offset by entries posted to some other company/location. As you enter the detailed journal entries, you must specify the company/ location for these offsetting entries. For entries posted to the default company/location's books, you can leave the Receiving Company/Location fields blank.
JOURNAL
Display only. A six-position alphanumeric code assigned to each journal entered into the system.
TRANSACTION CONTROL COUNT
Display only. The number of transactions that should be entered for the journal, as specified on the header screen. You should compare this number with the actual transaction count, which is the number of items actually entered on this screen. Any difference indicates a data entry error. You cannot post the journal until the numbers are identical.
ACTUAL TRANSACTION COUNT
Display only. Total number of debit and credit transactions that have actually been entered in the journal. This number is calculated by the system. You should compare this number to the control transaction count, which represents the number of transactions that should have been entered. Any difference represents a data entry error. You cannot post the journal unless the numbers are identical.
FISCAL PERIOD
Display only. The period in which the journal is in effect. It was entered on the header screen.
FISCAL YEAR
Display only. The fiscal year in which the journal is in effect. It was entered on the header screen.
CONTROL DEBIT AMOUNT
Display only. The total of all debit amounts that should be entered for the journal. The control amount was entered on the header screen. You should compare it to the actual debit amount, which is the total of all debit amounts that have been entered to date for the journal. Any difference represents a data entry error. You cannot post the journal unless the numbers are identical.
ACTUAL DEBIT AMOUNT
Display only. The total of all debit amounts entered so far for the journal. You should compare this total to the control debit amount, which is the total debit amount that should be entered (as specified on the header). Any difference represents a data entry error. You cannot post the journal until the two numbers are identical.
CURRENCY CODE
Display only. Code identifying the currency in which screen amounts must be entered. It was specified on the header screen. For all company/locations that use a different currency, you can specify the exchange rate that should be used to convert the entered amount into the corresponding currency.
ACTUAL CREDIT AMOUNT
Display only. The total of all credit amounts entered on the screen. It should be compared to the actual debit amount to ensure that the journal is in balance.
ROLL FACTOR
Optional. Used to define the number of records to roll when either Roll Up or Roll Down key is pressed. The default is 4.
CONTROL QUANTITY AMOUNT
Display only. The total of all statistical amounts that should be entered for the journal (as specified on the header screen). It should be compared to the actual quantity amount to ensure that all statistical information was entered correctly.
ACTUAL QUANTITY AMOUNT
Display only. The total of all statistical amounts entered on this screen. It should be compared to the control quantity amount to ensure that all statistical information was entered correctly.
ACCOUNT NUMBER
Required. The General Ledger account to which this transaction will be posted. The account/center must be active.
CENTER
Optional, based on the chart of accounts. The General Ledger center to which this transaction will be posted. The account/center must be active.
TRANSACTION AMOUNT
Required. The debit or credit transaction amount. A credit amount is indicated with a minus sign following the amount.
JOURNAL DESCRIPTION
Optional. Defaults to the journal description entered on the header screen. You can type a new description over this default.
REF 1/MAJOR REFERENCE
Optional. A five-position numeric field used to enter user specified information about a journal transaction. Typical information entered in this field includes invoice numbers and vehicle numbers.
REF 2/MINOR REFERENCE
Optional. A four-position alphanumeric field used to enter user specified information about a journal transaction.
SELECT
Optional. Enter an 'X' in this field if you want to enter comments for the transaction. After you enter all required information on this screen and press the Enter key, the Journal Comments Maintenance screen (GL060S01) will be displayed. If comments already exist, you may maintain them on the Journal Comments Maintenance screen.
RECEIVING COMPANY/LOCATION
Optional. The company/location to which this transaction will be posted. If you leave these fields blank, the transaction line will be posted to the company/location specified on the header.
TRANSACTION QUANTITY
Optional. The statistical quantity to be posted for this transaction line. It must be expressed in the specified unit of measure.
UNIT OF MEASURE CODE
Required if a transaction quantity is entered. The unit of measure in which the statistical quantity is expressed. If this unit of measure is not the same as the unit defined on the Statistical Account Master File, a conversion record must exist for the two units on Reference File category 006.
EXCHANGE RATE
Optional. Used to convert the entered amount into the base currency for the company/location. If this field is left blank, the exchange rate will default as follows:
o If the company/location for the transaction line is the same as the company/location specified on the header, then the exchange rate entered on the header is used.
o If the company/location is not the same as the header company/location, or if no exchange rate was entered on the header screen, then the exchange rate defined on the Reference File for the two currencies is used.
COMMAND KEYS
F4 - Display a list of values for the field where the cursor is positioned. If you select one of the items from the list, it will be returned to the application screen.
F9 - Display the header screen. After reviewing the header, you can return to the detail screen by pressing Enter.
F11 - Display the recap screen, which lists detail information for the journal in a columnar debit/credit format. From the recap screen, you can return to this screen by pressing Enter.
F13 - Cancel (in enter mode) or delete (in review mode) the displayed journal.
F19 - Display the Base Amount Window (GL040S6A). This window displays all entered financial amounts in the currency for the corresponding company/ location.
F22 - Update the Valid Transaction File with the detail records for the journal. Update the Valid Header File with the corresponding header information.
F23 - Close the journal with errors. Both header and line records are placed on the Journal Transaction File. If you are in enter mode, a blank header screen will be displayed. If you are in review mode, the next journal in error will be displayed.
