Description
The Bill of Documents (BD) module allows you to track specifications for a manufactured item or manufacturing process. It maintains two types of information:
-
Document Master Data. This information is entered for each document tracked by the system. It includes the document number, a document description, a one-line comment, and control information such as the engineering change order number, revision level, and effectivity date.
-
Document Structure Data. These records specify which documents are associated with which parts in which plants. One part in a plant may have many documents associated with it. Likewise, each document may apply to many parts of one or many plants. Each record on the Document Structure File specifies one plant/part, one document number, and one operation number that are related. For example, if one plant/part is associated with five engineering documents, five Document Structure File records will exist for that plant/part.
Two Bill of Documents inquiries help you see the relationship between plant/parts and documents:
-
The BOD Single-Level Explosion Inquiry lists all documents related to one plant/part.
-
The BOD Single-Level Where-Used Inquiry lists all plant(s)/parts associated with one document.
This information is also available in printed form. In addition, a BOD Indented Explosion report lists all documents associated with one plant/part or any of its components.
The Office word processing system can be used to store and maintain text documents tracked by the BOD module. On the System/38, the Personal Services text management system (PS/38) can be used. Each record on the Document Master File contains a code indicating whether the document is stored in the corresponding text management system. The same document number must be used to refer to a document in both the Bill of Documents module and the word processing system.
The Bill of Documents module interfaces with the word processing system in the following ways:
-
You can enter the word processing system directly from the Bill of Documents Application Menu.
-
From the BOD Single-Level Explosion Inquiry screen, you can view any listed text document by pressing a command key.
-
An audit function reconciles the list of text documents defined in the Bill of Documents module with the actual documents that exist in the word processing system.
