This screen is used to add a new vendor or change existing vendor remittance data. The remittance information is used by the Accounts Payable and the Purchasing modules.
Field headings that appear only when the Accounts Payable module is installed are identified. Field headings in parenthesis do not appear on the screen.
VENDOR NUMBER
Display only. This is the vendor number entered on the Function Select screen.
VENDOR STATUS
Display only. This field displays the status of the vendor. A vendor may be New, Active, or Inactive. One of these values will be displayed in this field. The vendor status is changed when a vendor is added or made inactive.
SEARCH FIELD
Optional. This field is used as the search text for the vendor in valid-values lists. You may change the text.
RELATED CUSTOMER NUMBER
Optional. This field allows you to enter the number of a customer that you would like to associate with the vendor you are maintaining. If this vendor is also a customer, you can enter the corresponding customer number in this field. This number will be displayed next to the vendor number on payment entry screens. No validation is performed.
If separate currencies are defined for each company or company/location, the company/location fields are displayed. If a customer number is entered, these fields are required. If a company/location is entered, a customer number is required.
RELATED COMPANY/LOCATION
Optional. This field identifies the company/location associated with the related customer. No validation is performed.
If separate currencies are defined for each company or company/location, the company/location fields are displayed. These fields allow you to enter the company and/or company/location associated with the customer number. If a customer number is entered, these fields are required. If a company/location is entered, a customer number is required.
VENDOR NAME AND ADDRESS
Required. The first line is used for the vendor name. The second and third are free-format lines. The name and first address line are required fields. The third of these three lines is optional.
THIRD FREE-FORMAT ADDRESS LINE
Optional. This field is displayed as an additional address line only if the address format is NOT set to American format on Reference File category 133.
CITY
Required. This field should contain the city of the vendor's address and cannot be blank. The field is only displayed if the American address format is designated on Reference File category 133.
STATE
Required. This field should contain the state of the vendor's address. The state code must exist on Reference File category 326. This field is only displayed if the American address format is designated on Reference File category 133.
ZIP CODE
Required. This field should contain the Zip Code of the vendor's address. This field is only displayed if the American address format is designated on Reference File category 133.
COUNTRY CODE
Optional. This field, if entered, must exist on Reference File category 007. Purchases from this vendor will be included in the Supplementary Sales Declaration (SSD) report and is used to report inventory movement within the European Community.
REMIT-TO VENDOR
Optional. If the billing information for this vendor should be sent to another vendor, you must specify the other vendor number in this field. The Remit-To Vendor must be an active vendor on the Vendor Master File.
CONSOLIDATED VENDOR
Optional. If the shipping information should be sent to another vendor, you must specify the other vendor number in this field. The Consolidated Vendor must be an active vendor on the Vendor Master File.
VENDOR GROUP
Optional. If the vendor belongs to a group of vendors, you can specify the group in this field. If a vendor group is entered, it must exist on Reference File category 233, Vendor Group Codes.
VENDOR TYPE
Optional. This field is used to indicate the type of the vendor: a standard vendor (blank), an import vendor (I), a co-contractor (C), a customs vendor (D), or a shipping agent (S). Note that assigning a type of I does not affect how taxes will be processed.
Customs matching may only be performed between shipping agent invoices and customs vendor invoices. If you wish to perform customs matching between invoices, you must define the vendors as shipping agents or customs vendors.
VENDOR CLASS
Required if Accounts Payable is installed. If you use the Accounts Payable module, you must assign your vendor to a vendor class in this field. The vendor class must exist on Reference File category 232, Vendor Class Codes.
PERSONAL INFORMATION
Displayed only if the Individual Person flag on Reference File category 206 has been set to "Y." This field is used to indicate whether the vendor is a person or a company. It is a required field if the vendor is a person. Valid values are:
Y - The vendor is a person and is not a company. Additional information will be required from the person that will appear on the Vendor Master Personal Information screen.
N - The vendor is a company and not a person. No additional information will be required; therefore, the Vendor Master Personal Information screen will not appear.
PAYMENT TYPE
Required. You may specify the form of payment in which payments must be made to the vendor in this field. For example, if a vendor only wanted to be paid by check, you would specify the check payment type in this field. If you specify a payment type, it must exist on Reference File category 240, Payment Types. The payment type cannot be a clearing or quick payment. If the Purchasing module is installed, this field defaults from Reference File category 206. If Purchasing is not installed, this field defaults from category L24.
BANK CODE
Optional. You may assign a bank code to the vendor to be used as the default bank code when documents are created for the vendor.
STANDARD DISTRIBUTION
Optional. You may specify the default account/center to be used on invoices created for this vendor. No validation is performed on this field.
CURRENCY CODE
Optional/Required. For vendors that require payment in a specific currency, you must enter the currency code in this field. If the vendor accepts multiple currencies, you can use this field to specify the preferred payment currency. This field is not displayed in a single currency environment. Any currency code entered must exist on the Currency Master File.
SINGLE/MULTIPLE CURRENCY OPTION
Required. You must define whether the vendor accepts more than one currency in this field. Valid values are:
S - Vendor accepts a single currency.
M - Vendor accepts multiple currencies.
You may change a vendor from accepting a single currency to accepting multiple currencies. However, you cannot change a vendor from multiple currencies to a single currency.
LANGUAGE CODE
Optional. If you wish to print out vendor documents in the base system language, leave this field blank. If you wish to have vendor documents printed in a secondary language, enter a valid language code from Reference File category D92. If this field is entered, all vendor documents will print in the secondary language.
CREDIT TERMS
Required. Used to calculate the due date of a purchase order invoice payment. This credit terms code must exist on Reference File category 223 or equal '99'. The value '99' allows the user to enter the credit terms in a free format. You may define installments for the vendor by specifying a credit terms code with installments in this field. This field is used as the default credit terms when documents are created for the vendor.
DISCOUNT PERCENT
Required/Display only. This field is used to calculate the discount amount based on the total gross purchase order amount. This field must be numeric and have two decimal positions. This field is only required if the credit terms code is 99. Otherwise, this field is display only.
IF PAID
Required/Display only. If you specify a credit terms code of 99, you must specify whether the Discount Days/Date field represents a number of days or a date. Valid values are:
IN - number of days
ON - date
This field is displayed only if the credit terms code is not 99.
DISCOUNT DAYS/DATE
Required/Display only. If the credit terms code is 99, you must enter either the number of days after the invoice date or the date by which the invoice must be paid to receive the discount. If the If Paid field contains the value "IN", then enter a number of days in this field. Otherwise, enter a date without spaces. This field is display only if the credit terms code is not 99.
END-OF-MONTH DISCOUNT
Required/Display only. This field determines whether the calculation of the discount date is based on the beginning of the current month or the following month. Valid values are:
Y - from the end of the month.
N - from beginning of current month.
This field is required only if the credit terms code is 99. Otherwise, this field is display only.
NET DAYS
Required/Display only. If the Credit Terms Code is 99, you must enter the number of days used to calculated the payment due date. You must enter a number without decimals. If the Credit Terms Code is not 99, this field is display only.
END-OF-MONTH NET
Required/Display only. This field determines whether the calculation of the payment due date is based on the end of a month less the value of the Net Days field. Valid values are:
Y - end of the month
N - end of the month not taken into account
This field is required only if the credit terms code is 99. Otherwise, this field is display only.
FROM DATE OF
Required/Display only. This field specifies the date from which the calculations of the discount date are based. Valid values are:
1 - Accounting Date
2 - Vendor Invoice Date
3 - Merchandise Receipt Date
A value of 3 is not valid for Account Payable applications. This field is only required if the credit terms code is 99. Otherwise, this field is display only.
DELAY
Required/Display only. This field is used to calculate the payment due date, and indicates the number of days to be added to the net days while considering the end-of month flag. This field must be numeric and have no decimal places. This field is required only if the credit terms code is 99. Otherwise, this field is display only.
VALUE ADDED TAX/ TAX CODE
Optional. This field specifies the percentage and type of value added tax or tax used by the vendor. Valid VAT and TAX codes must exist on Reference File category 230. The value in this field will be used as the default VAT or Tax code when new Item/Vendor relationships are created for the vendor.
ACCOUNTS PAYABLE CODE
Required. This field is used to define a default accounts payable code for account classification. This code must exist in Reference File category 208.
VALUE ADDED TAX DECLARATION POINT
Optional. The declaration point defines the time at which the VAT amount is calculated (at time of invoice or at time of payment). This field must exist on Reference File category 022. This field is required if a VAT code is defined for the vendor.
VAT PRINT FLAG
Optional. This field allows you to enter codes for custom reporting or processing. No validation is performed.
VENDOR HOLD CODE
Optional. This field allows the user to put a hold on payments to a vendor and/or prevent purchase order creation. Valid values are:
Blank - No hold.
H - Hold payment.
P - Prevent purchase order creation.
B - Hold payment AND prevent purchase order creation.
VALUE ADDED TAX CALCULATION METHOD
Optional. This field defines the method the vendor uses to calculate VAT taxes. Valid values are:
G - Gross
N - Net
R - Recalculation
This field is only required if a VAT code is specified for the vendor.
VAT CONTROL FLAG
Optional. This field allows you to enter codes for custom reporting or processing. No validation is performed.
ALWAYS TAKE DISCOUNT
Required. This field tells whether or not the system should assume the discount for this vendor, regardless of when the payment was made. Valid values are:
Y - Always take the discount.
N - Only take discount when terms dictate.
ONE-TIME VENDOR
Required. This field tells the user whether or not the vendor will only be used one time or if the vendor is a prospective future vendor as well. Valid values are:
Y - Vendor is to be used only once.
N - Vendor will be used more than once.
VAT INCLUDED FLAG
Required. Displayed only in VAT environments. Indicates if VAT is already contained in the prices for each invoice line from this vendor. Valid values are Y (yes), N (no), and blank. The default is N.
VENDOR BANK NUMBER
Optional. This field allows the user to input the bank number used in association with the vendor. This field is validated against the edit mask on Reference File category F50, Bank Account/Number Mask, if it is set-up.
1099 CODE
Optional. This field is used to calculate the 1099 classification. This code must be found on Reference File category 231.
VENDOR WITHHOLDING CODE
Optional. You may specify a withholding code in this field that will be used to determine the amount of a vendor's invoice to be withheld at payment time. Valid vendor withholding codes are defined on Reference File category 234. Vendor withholding can be performed at invoice or payment time for each company/location as defined by the Withholding Point flag on Reference File category 201.
VENDOR BANK ACCOUNT
Optional. This field allows the user to input the bank account associated with the given vendor. This field is validated against the edit mask on Reference File category F50, Bank Account/Number Mask, if it is set-up.
TAXPAYER ID NUMBER
Optional; required if the VAT code is a postponed VAT type. This field allows you to specify the taxpayer identification number of the vendor. In addition, the Vendor Master Maintenance conversation will be modified to ensure that the taxpayer ID is non-blank if the default VAT code is a postponed type.
SEPARATE PAYMENT
Required. This field specifies whether a separate payment is required for each individual invoice. Valid values are:
Y - Vendor requires 1 payment/invoice.
N - Vendor does not require 1 payment/invoice.
TURN AROUND DOCUMENT
Required. This field specifies whether turn-around documents are required for each invoice. Valid values are:
Y - Turn around documents are required.
N - Turn around documents are not required.
ON ACCOUNT COMMENT FLAG
Required. Displayed only if Accounts Payable is installed. This field indicates if the system should generate a comment for an open item being paid by an on-account payment. Valid values are:
Y - On-account payments applied will generate comments
N - On-accounts payments applied will not generate comments
NET DEBIT MEMO FLAG
Required. Displayed only if Accounts Payable is installed. This field indicates if the system should select debit memos for payment automatically during auto-selection and create payments. Valid values are:
Y - Net debit memos for vendor
N - No, do not net debit memos
COMMAND KEYS
Enter - Perform screen validation. When adding a new vendor, pressing Enter prompts the Order Information screen.
F2 - Display a window where a fast path option or mnemonic can be entered. Fast path allows the next menu selection to be made directly from this screen. When the window is displayed, pressing F3 will remove it.
F3 - Exit Vendor Master Maintenance and return to previous conversation without saving changes.
F4 - Display a list of values for the field where the cursor is positioned. If you select one of the items from the list, it will be returned to the application screen.
F9 - Enter vendor inquiry conversation.
F10 - Return to Vendor Master Maintenance Select screen without saving changes.
F12 - Enter the Comments program to allow maintenance of vendor comments. This command key will only be displayed in change, deactivate, and reactivate modes.
F15 - Clear all fields that you have just entered and enter new data.
