Maintain Company and Location

 

To add, change, deactivate, reactivate, and inquire upon a company/location record, perform the procedures listed below.

Display Company/Location Maintenance Screen

1.   Enter the Company/Location Maintenance option on the Draft Management Menu.  This will display the Company/Location Maintenance Function Select screen (CF280S01).

Select Company/Location and Type of Processing

2.   The Company/Location Select screen is used to select a company/location to be processed and the type of processing for the conversation.  The company/location field is used to select the company to be processed.  The maintenance code field is used to select the type of processing to be performed.

Add Company/Location

3.   To add a company/location, specify a company/location and enter a 1 - Add in the maintenance code field.  The company/location must exist on Reference File category 002 in order for the transaction to be processed.  Press the ENTER key and if the data is valid, the Company/Location Maintenance Detail screen (CF280S02) will be displayed.

Enter data for the new records in the appropriate input fields.  The address fields are required on this screen.  The optional taxpayer ID may be specified.

Once all the data is entered, press the ENTER key.  If any data is invalid, an error message is displayed.  If the data is valid, the Company/Location Maintenance User-Defined screen (CF280S03) will be displayed.

The User-Defined screen allows you to enter data specific to your company and stores it on the Master File.  MAC-PAC must be modified to process any of these fields.  This screen allows for up to 24 fields: 4 each with 6 different field types.  You define the literals for each of the 6 types on a separate Reference File category (D94 - D99).  If you want to cancel this transaction, press F13 - Cancel Transaction.  If you want to display the detail screen, press F5 - Detail.  Once you are finished entering data in these fields, press the ENTER key to display the Function Select screen.

Change Company/Location

4.   To change a company/location, specify a company/location and enter a 2 - Change in the maintenance code field.  The company/location must exist on CF280M in order for the transaction to be processed.  Press the ENTER key and if the data is valid, the Company/Location Maintenance Detail screen (CF280S02) will be displayed.

You can change any data for the records in the appropriate input fields that are underlined.

Once you make your changes, press the ENTER key.  If any change is invalid, an error message is displayed.  If the changes are valid, the Company/Location Maintenance User-Defined screen (CF280S03) will be displayed.

If data was entered on the User-Defined screen, it can be changed during this transaction.  If you want to cancel this transaction, press F13 - Cancel Transaction.  If you want to display the detail screen, press F5 - Detail.  Once you are finished changing data in these fields, press the ENTER key to display the Function Select screen.

Deactivate Company/Location

5.   To deactivate a company/location, specify a company/location and enter a 3 - Deactivate in the maintenance code field.  The Company/Location Maintenance Select screen will be redisplayed with the message Company/Location record has been deactivated.

Reactivate Company/Location

6.   To reactivate a company/location, specify a company/location and enter a 4 - Reactivate in the maintenance code field.  The Company/Location Maintenance Select screen will be redisplayed with the message Company/Location record has been reactivated.

Inquire about Company/Location

7.   To inquire about a company/location, specify a company/location and enter a 5 - Inquire in the maintenance code field.  The company/location must exist on CF280M in order for the transaction to be processed.  Press the ENTER key and if the data is valid, the Company/Location Maintenance Detail screen (CF280S02) will be displayed.

You can view any data for the records and press the ENTER key.  The Company/Location Maintenance User-Defined screen will be displayed and you can view the data on this screen also.  Once you are finished, press the ENTER key to display the Select screen.

If you want to cancel this transaction at any time, press F3 - Exit to return to the Draft Management Menu.  If you want to display the detail screen, press F5 - Detail.
