This screen is used to initiate the Customer Master Maintenance conversation. You should enter the customer number, company or company/location (if system option for customer is by company or company/location), and select the type of transaction for the customer being processed.
COMPANY NUMBER
Required, if displayed. Enter the number of the company with which the customer may do business. The company must exist on the Reference File category 002. Authorization to this company/location will be validated on Reference File category 332.
LOCATION NUMBER
Required, if displayed. Enter the number of the location with which the customer may do business. The location must exist on Reference File category 002. Authorization to this company/location will be validated on Reference File category 332.
CUSTOMER NUMBER
Required. A customer number is assigned to each customer and will be used throughout the system to identify the customer. If the transaction is a copy, enter the new customer name.
MAINTENANCE CODE
Required. The transaction code identifies the type of transaction being processed:
o The Add Ship-to option displays only the Sales screen. Information for other relevant screens will default. This option allows you to specify the minimal amount of information required to use the customer as a ship-to or ordered-by location on a sales order. You will not be able to use it as a bill-to location unless you return to this screen and select the Add Bill-to option for the customer. After you have defined the customer, you can return to this screen and use the Change options to view and update the Sales, Credit, Document, and User-Defined Fields screens.
o The Add Bill-to option displays the Sales and Billing screens. Information for all other screens will default. This option allows you to specify the minimal amount of information required to use the customer as a ship-to, bill-to, or ordered-by location on a sales order. After you have defined the customer, you can return to this screen and select the Change options to view or modify any information for the customer.
o The New Customer Setup option will display all screens in the conversation. A customer defined using this option can be entered as the ship-to, bill-to, or ordered-by location on a sales order. After you have defined the customer, you can use the Change options on this screen to view and modify each screen of information.
o Each of the Change options displays one screen of information for a customer. This information can then be modified. You can only use these options if the customer has already been defined Using the Add, New, or Copy options. If the customer was defined using the Add or Copy Ship-to option, you cannot select the Change Billing Information option.
o The Copy options allow you to create a new customer by copying information for an existing customer. Use the Reference fields to specify the customer to be copied from. The Copy Bill-to option will copy all information. The Copy Ship-to option will copy everything except billing information. After you have created the new customer, you can use the Change options to modify specific data.
o The Reactivate options allow you to reactivate a customer that had previously been deactivated. To be used as a ship-to location on a sales order, the customer must be an active ship-to or bill-to customer. To be used as a bill-to location, the customer must be an active bill-to customer.
o The Deactivate options allow you to prevent a customer from being used as a bill-to or ship-to location on future sales orders. Deactivating a customer has no effect on existing items for the customer. A deactivated customer can be reactivated at any time.
o The Delete options mark the corresponding information for deletion. The records will be deleted the next time the Customer Master File is purged/reorganized. You cannot delete a customer if any open items exist for that customer. If you delete a bill-to customer, that customer can still be used as a ship-to location on sales order. If you delete a ship-to customer, all records for the customer will be deleted.
o The Bill-To Customer Notes option allows you to add comments for the specified Bill-To customer.
US CUSTOMER
Required for options 1-4, 10-11, if Vertex and US taxes are installed and the address is flagged as free format on Reference File category 133. Enter Y (yes) if the customer will be taxed according to US tax laws. Enter N (no) if the customer is outside that US tax law. Displayed only if Vertex and US taxes are used.
REFERENCE COMPANY
Optional if a copy transaction. Not allowed otherwise. Enter the company associated with the reference customer. Information will be copied from the reference company/ location/customer to create the new customer.
REFERENCE LOCATION
Optional if a copy transaction. Not allowed otherwise. Enter the location associated with the reference customer. Information will be copied from the reference company/location/customer to create the new customer.
REFERENCE CUSTOMER NUMBER
Required, if a copy transaction, otherwise not allowed. Enter the customer to be copied from.
COMMAND KEYS
Enter - Validate screen and display the next screen in the conversation, depending on which option has been selected.
F2 - Display a window where a fast path option or mnemonic can be entered. Fast path allows the next menu selection to be made directly from this screen. When the window is displayed, pressing F3 will remove it.
F3 - Exit and return to the previous menu.
F4 - Display a list of values for the field where the cursor is positioned. If you select one of the items from the list, it will be returned to the application screen.
F9 - Display customer information in inquiry mode (that is, do not allow changes).
