This screen is used to add new records or change existing records on the Purchase Order Receipt Line and Parcel Files.

COMPANY/WAREHOUSE

Display only.  Identifies the company/warehouse currently being used.

RECEIPT NUMBER

Display only.  The purchase order receipt for which quantity control information is being maintained.  It was entered on the Function Select screen.

RECEIPT LINE NUMBER

Display only.  A system-assigned number that uniquely identifies this line within the receipt.

RECEIPT TYPE

Display only.  Indicates the steps that will be executed during the receiving process for the part.  If the receipt has already been recorded, it is retrieved from the receipt.  If the receipt is being recorded as part of this transaction, it is retrieved from the main purchase order.  The receipt type identifies whether quantity and/or quality control checks are required, and if a quality control location is used.  Valid codes are defined on Reference File category 475.

PURCHASE ORDER NUMBER

Display only.  The purchase order corresponding to this receipt line.

PURCHASE ORDER LINE NUMBER

Display only.  The specific line on the purchase order that is displayed where these goods were ordered.

SHORTAGE FLAG

Display only (add, change).  Used to indicate if the current stock level of the part is insufficient for production requirements.  See extended text for a description of how the system sets the shortage flag.

PURCHASE ORDER TYPE

Display only.  Defines the functionality of the purchase order.  PO Types are defined on Reference File category 437.

ORDER TYPE

Display only.  Displays the order type, which indicates the destination of purchased goods.  Purchase goods may be shipped to the warehouse or directly to the customer.  Order type codes are defined on Reference File category 401.

REFERENCE SALES ORDER NUMBER

Display only.  This field is used in combination with the sales order to tie a sales order line, release, and line numbers to the purchase order line associated with this receipt line.  The sales order, release, and line number combine to identify the sales order line for which this purchase order line is being received.

REFERENCE SALES ORDER RELEASE NUMBER

Display only.  This field is used in combination with the sales order and line number to tie a sales order line to the purchase order associated with this receipt line.

REFERENCE SALES ORDER LINE NUMBER

Display only.  This field is used in combination with the sales order and release to tie a sales order line number to the purchase order that covers this receipt line.

PART NUMBER

Display only.  The part number and description (on the Part Master File) used to identify which item was received.

VENDOR ITEM DESCRIPTION

Display only.  The description the vendor uses to identify the part.

CONFIGURATION CODE

Display only.  This is the configuration code associated with the part number.

SCHEDULED QUANTITY

Display only.  Sum of the purchase order line release quantities for this part.  It is retrieved from the Purchase Order Line File.

BALANCE DUE

Display only.  Calculated as the scheduled quantity minus the quantity received.

PURCHASING UNIT OF MEASURE/STOCKKEEPING UNIT OF MEASURE

Display only.  Either the purchasing unit of measure or stockkeeping unit of measure for the part.  All quantities on this screen are expressed using this unit of measure.

JOB/GROUP

Display only.  Indicates if this inventory has been allocated to a specific job or group of jobs.

COUNTED QUANTITY

Display only.  Calculated as the sum of the counted quantity for each parcel multiplied by the number of parcels entered on this screen.  If you enter a receipt quantity that is greater than the order quantity, a warning message will be displayed.

COMMENTS FLAG

Required.  Indicates if comments are to be added or changed for the receipt line.  Valid values are Y (comments exist) or N (comments do not exist).  The default when adding a receipt is N.  For a change transaction, the default is Y if comments already exist, otherwise N.

RECEIPT LINE STATUS

Required.  Defines the status of the receipt line that is being added or maintained.  The default value is O (Open).  It can only be changed to C (Closed) if the Counted Quantity equals 0.

LISTED QUANTITY

Optional.  Display only (Maintenance Code = 2).  Used to enter the quantity listed on the vendor documents.  Must be numeric and have the right number of decimal places.  If left equal to zero and the Maintenance Code equals 1, the value will be set to the Counted Quantity.

IDENTIFICATION TAGS PRINT FLAG

Required.  Used to request that the identification tags related to the current receipt line be printed.  Must be Y (print the tags) or N (do not print the tags).  The default value is Y when adding a receipt line.  The default value is N when changing a receipt line.

DIFFERENCE QUANTITY

Display only.  Calculated as the Counted Quantity minus the Listed Quantity.

QUANTITY CONTROL STATUS

Required.  Indicates the status of a receipt line as it pertains to the quantity control process.  For a maintenance code of 1 (Add a Receipt Line), the status can only be set to COM (Complete) when the Counted Quantity equals 0.  Otherwise, the field is maintained automatically by the system based on the entered quantities.  This field is based on the Receiving Type.  The Receiving Type (which determines whether Quantity Control is required for an item and/or vendor) is established in the Item/Vendor Relationship conversation, but can be manually overridden during order entry.  Quantity Control Status Codes are defined on Reference File category 466.

Valid values are:

NOC - No Quantity Control Required

WAI - Waiting Quantity Control

COM - Quantity Control Complete

BALANCE TYPE

Required.  Used to allow on-hand inventory to be separated into different classifications defined during system installation.  Must be one of the balance types defined on the System Control File.  If the Quality Control Location Utilized Flag on Reference File category 475 equals Y (yes), the balance type must be equal to the quality control balance type defined on Reference File category 481.

Once entered, this field cannot be changed unless the counted quantity is set to 0.

STOCK LOCATION

Required.  Defines the area in the warehouse to which the parts will be moved to wait for quality control or to enter directly into inventory.  The primary stock location for the part defaults from the Part Master File into this field.  You may, however, enter a different stock location in this field.  If the part does not have a primary stock location, the field will be blank and you must enter a stock location that exists on the Location Validation File.  You may not enter all nines.  If the Receipt Type Quality Control flag and the Quality Control Location Utilized flag on Reference File category 475 both equal Y (yes), the Stock Location must be equal to the quality control stock location.

Once entered, the Stock Location cannot be changed unless the Counted Quantity is set to 0.

LOT NUMBER

Required (for lot-controlled parts).  Used to record the internal lot number.  You have several options:

o  You may enter an existing lot number in this field; however, the Vendor Lot Number and the Lot FIFO Date must be equal to the current Lot Control File values.  If these values are blank on the Lot Controlled File, they must be entered on this screen.  Furthermore, the related Lot Type must be purchased (P) and the related Lot Status must be open (O).

o  You may create a new lot by entering a new lot number in this field.

o  If Automatic Lot Number Assignment has been set to Y (yes) in Reference File category Y34, a lot can be assigned automatically using the next available lot number.

o  If Automatic Lot Number Assignment has been set to N (no) in Reference File category Y34, a new lot number will not be assigned automatically.  You may, however, enter either an existing lot number or a new lot number in this field.  If you enter a new lot number in this field and press Enter, the lot number will be added to the Lot Control File (IC150M).

If the lot is on hold, an error message is displayed, and the lot is reverse imaged.  No inventory may be issued from or received into a lot that is on hold.

VENDOR LOT NUMBER

Optional.  Used to record the vendor lot number.  If the Lot Number field has been entered and does not exist on the Lot Control File, this field must not be blank.  If the Lot Number does exist on the Lot Control File, this field must be equal to the Lot Control File value.  If this value is blank, the Vendor Lot Number must be entered here.

LOT FIFO DATE

Optional.  Used to record the entry date.  If the Lot Number field has been entered and does not exist on the Lot Control File, this field must not be blank.  If the Lot Number does exist on the Lot Control File, this field must be equal to the Lot Control File value.  If this value is blank, the Lot FIFO Date must be entered here.

NUMBER OF PARCELS

Required.  Used to record the number of parcels of the same size defined by the quantity per parcel.  If entered, must be numeric with no decimal places.  If the cumulative quantity in all the parcels in the subfile exceeds the total amount in the Balance Due field, a warning message will be displayed.  The Number of Parcels field must be entered if the corresponding Quantity Per Parcel field is entered.

If you want to receive the different parcels into various locations use F23-Split Parcel Lines.  This puts each parcel on a separate line with the quantity  specified.  F23 is only valid for location controlled parts.

QUANTITY PER PARCEL

Required.  Used to record the counted quantity per parcel of a specific size.  If entered, must be numeric and have the right number of decimal places.  Must be entered if the corresponding Number of Parcels field is entered.  If the cumulative quantity in all the parcels in the subfile is greater than the amount in the Balance Due field, a warning message will be displayed.

If F23-Split Parcel Lines is used, the quantity specified will be put in the quantity field for each parcel.

COMMAND KEYS

F4    - Display a list of values for the field where the cursor is positioned.  If you select one of the items from the list, it will be returned to the application screen.

F6    - If the Maintenance Code = 2, the same screen is displayed with the data of the previous receipt line or the data of the previous purchase order line is displayed.  If no other receipt line is related to these purchase order lines, the Purchase Order Detail screen is displayed.

F7    - Return the user to the header screen.

F8    - If the Maintenance Code = 2, the same screen is displayed with the data of the next receipt line.  If the Maintenance Code = 1, the data of the next receipt line related to the current purchase order line or the data of the next purchase order line is displayed.  If no other receipt line is related to these purchase order lines, the Purchase Order Detail screen is displayed.

F11   - Displays the Receipt Quantity Control Header screen (PO220S02).

F14   - Processes the receipt line counted quantity calculation.

F15   - Clears the screen of all data that has been entered.

F16   -  Displayed if Reference File category N18 has all three records set up to indicate that MAC-PAC container control processing is enabled.  Used like an ENTER key to post changes to the number of parcels and/or parcel/quantity information.  Pressing this function key twice will display the P.O. Container Receipt screen where additional information can be posted.

F19   - Display the Expanded Configuration Code window which allows you to view the expanded description for a part number/configuration code combination.

F20   - Add a new receipt line for the same PO line.

F21   - Toggles the display between the PU quantity and the SKU quantity so that you have the option of entering the receipts in either PU or SKU.

F23   - Processes the splitting logic of the parcels.  This is only valid for location controlled parts.

F24   - Display additional command keys that are valid for the current screen.
