This is a multi-line screen where Purchase Order Lines are maintained for single release type Purchase Orders.  In order to access this screen, the Purchase Order Type must be 'SGL' (single release).

COMPANY/WAREHOUSE

Display only.  Identifies the Company/Warehouse currently being used.  May be changed on the Function Select screen by pressing F17 - New Co/Whs.  Defaults from Reference File category 428.

CURRENCY CODE

Display only (in a Multi-currency Environment).  Displays the currency in which the purchase order was placed.  Default value for the base currency is taken from the Vendor Master File.

ORDER NUMBER

Display only.  Displays the number of the purchase order being used.

VENDOR NAME

Display only.  Displays the vendor that is associated with the purchase order.

LINE NUMBER

Display only.  Displays the purchase order line number currently being used.  For add transactions, the next available line number is automatically generated by the system.

LINE STATUS

Optional.  Must be either O - Open or C - Closed.  The default value for an add transaction is Open.

PART NUMBER

Required (Add).  Display only (Change).  Must not be blanks or all nines.  Must be an active part on the Part Master File. If the Item/Vendor Relationship Mandatory Flag retrieved from the Part Master File record is Y (yes) then an item/vendor relationship must exist for the part and vendor combination.  In addition, the part status code must be valid for use on Purchase Requisitions/Orders, as defined on Reference File category D88.

JOB/GROUP NUMBER

Optional.  Used to tie a purchase order to a specific job number If entered, this job number must exist on the Job Master File (JC100M).

CONFIGURATION CODE

Required (If the part number is a configuration coded part).  Display only (Change).  This field is displayed only if the Expert Configurator module is installed.  This is a configuration code that corresponds to the specified part number.  It must be a valid configuration code on the Configuration Master File.

PURCHASING/STOCKKEEPING UOM CONVERSION FACTORS

Display only for non-reference parts (Required for reference parts).  Defines the factors used to convert from purchasing units to stockkeeping units.  Retrieved from the Item/Vendor Relationship File.  If there is no Item/Vendor Relationship record, the values are retrieved from the Part Master File.

For reference parts, these factors depend on the Unit of Measure code used.  If the SKU or selling UM code from the Part Master file, or the pricing UM from the Warehouse Balance file has been selected, these factors default and may be changed manually.  If a UM code other than those listed above is used (must exist on Reference File category 005), these factors must be entered manually.  Changing an already selected UM code will require manual entry of new conversion factors.

RELEASE QUANTITY

Required.  Defines the quantity requested for the part.  Must be numeric, nonzero, and have the correct number of decimal positions.  If a requisition number is entered, the release quantity is used to decrement the requisition uncovered quantity.

RECEIVED QUANTITY

Display only.  Displays the quantity received for the part.  This field is maintained by the system as a result of receipt transactions.

PURCHASING UNIT OF MEASURE

Display only.  The unit of measure that is defaulted, but may be overridden, on a purchase order.  Transactions may be recorded in purchasing units, but will be converted to stocking units automatically, and will be stored in stocking units.  The units of measure are defined on Reference File category 005.

If a reference part is used, any valid unit of measure can be assigned.  In this case, the PU/SKU conversion factor fields are required unless the unit of measure is the already existing PU or SKU.

UNIT PRICE

Optional.  Used to define the unit price of the part for the purchase order.  If left blanks and a quotation exists, this field will be automatically calculated based on the quotation terms.  If entered must use manual pricing.  The Unit Price must be numeric and have three decimal places.

REQUISITION NUMBER/LINE

Optional.  Specifies the requisition line being covered by the release.  If entered, both must correspond to an existing requisition in the Requisition File.

DUE DATE

Required (Add).  Indicates the date that the part must be available.  Must be a valid working date on the Calendar File for the plant.  When a requisition is entered, the due date is taken from the requisition.

DOCK DATE

Optional.  Identifies the date that the part must be on the delivery dock.  Must be a valid working date on the Calendar File of the Plant and must be less than or equal to the Due Date.  If left blank, the date will be automatically generated by the system.  If manually entered, the system generated date will be overridden.  Once defined, the Dock Date will be printed on the purchase order form.  When entering a requisition, the due date will change to the stock lead time.

MESSAGE

Optional.  Specifies if the release is to be printed on the purchase order form.  If entered, must be either Y (printed) or N (not printed).  If left blank, defaults to Y for an entered release.

PROMISED DATE

Optional.  Used by the buyer to record an informational promised date given by the vendor.  If a requisition line is used for the release, a default value is obtained by subtracting the Dock-to-Stock Lead Time from the Due Date.  Otherwise, the Dock Date is used as a default.

ORIGINAL PROMISED DATE

Optional.  Used to store the original promised date given by the vendor.  This field will be used for delivery performance statistics.  This field is dependent on Reference File category 492.  If the Delivery Statistics Date option is set to 'O' for original date, this field will be displayed.  If the option is 'D' or blank, this field is not displayed.

ACCOUNT/CENTER

Required (for reference items, if requesting department was not entered).  Optional (for non-standard items).  This field is not displayed for standard or non-stocked items.  Enter the account/center to be debited for this purchase order.  Note, if a non-stocked part is used, the non-stocked inventory account/center specified on Reference File category 452 (type 06) is debited for the purchase order.

VALUE ADDED TAX CODE/GOODS AND SERVICES TAX CODE

Optional.  Defines the tax processing for the part.  The VAT code or GST code you enter must exist on Reference File category 230.  The system retrieves a default value from the Item/Vendor Relationship File.

REQUESTING DEPARTMENT

Required (for Reference parts when the Account/Center field is blank).  Optional (for Non-stock parts).  This field defines the department that requested the item.  If entered, the requesting department must exist on Reference File category 470.

DESCRIPTION

Optional.  Allows you to enter a description for this purchase order.  In standard mode, the last two description lines are protected.  If you are entering a purchase order for a non-standard item, press F16, and the last two description lines will become input-capable.

COMMAND KEYS

F4    - Display a list of values for the field where the cursor is positioned.  If you select one of the items from the list, it will be returned to the application screen.

F7    - Displays the Purchase Order Maintenance Header screen (PO180S02).

F9    - Enter the Purchase Order Inquiry program.

F10   - Return to the Function Select screen without processing the entered data.

F11   - Display the Purchase Order Recap screen.

F15   - Rekey a screen transaction before the Enter key is pressed.

F16   - Used to switch between standard and non-standard item entry.  Note:  In non-standard mode, the two description lines and the account/center field are input capable while in standard mode these fields are protected.

F23   - Display the Configuration Template window which allows you to view/modify the configuration code more easily.
