This screen is used to add new purchase order lines, change existing lines, close an open line, and reopen a closed line. In a multiple currency environment, the base currency code for the company/location is displayed.
Pricing for a purchase order line can be performed two ways:
o A unit price and line target quantity may be manually entered; the system automatically extends the line total.
o A quotation may be used. The user must enter the quotation number and the line target quantity; the system determines the unit price based on the terms of the quotation, taking into account any quantity discounts on the quotation record, and automatically extends the line total. The main quotation for the item/vendor will default to the screen for add transactions.
COMPANY/WAREHOUSE
Display only. Identifies the Company/Warehouse currently being used. May be changed on the Function Select screen by pressing F17. Defaults from Reference File category 428.
CURRENCY
Display only (if in a Multi-currency Environment). Displays the currency in which all prices and amounts on the purchase order are expressed. The default value for base currency is taken from the Vendor Master File.
ORDER NUMBER
Display only. Displays the number of the purchase order being used.
LINE NUMBER
Display only. For change transactions, the line number displayed is the purchase order line currently being used. For add transactions, the system automatically generates and displays the next available line number.
LINE STATUS
Display only (Add). Required (Change). Must be either O (open) or C (closed). The default value for an add transaction is O.
PART NUMBER
Display only. Must not be blanks or all nines. Must be an active part on the Part Master File. The part type must not be 4 (planning part) for single (Purchase Order Type = S) or blanket (Purchase Order Type = B) orders. The part type must be equal to 2 (manufacturing part) or 6 (build thru) for phantom orders (Order Type = P). If the Item/Vendor Relationship Mandatory Flag retrieved from the Part Master File record is Y (yes) then an item/vendor relationship must exist for the part and vendor combination. In addition, the part status code must be valid for use on Purchase Requisitions/Orders, as defined on Reference File category D88.
VENDOR PART DESCRIPTION
Optional. Used to enter the vendor description for the part. The default value is retrieved from the Item/Vendor Relationship File. If not blank, must be left-justified.
COMMENTS FLAG
Required. Indicates if comments are to be added or changed for the line. Must be either Y (the comment screen will be displayed after validation of the current screen) or N (the comment screen will not be displayed). For add transactions, the default value is N. For change transactions, if comments exist, Y is displayed.
VENDOR MESSAGE
Optional. Used to define additional messages for each PO detail line related to vendors. Codes are validated from the Vendor Message Codes File category (236). Default value is blank.
CONFIGURATION CODE
Required (for configuration coded parts). The configuration code is displayed only if the Expert Configurator module is installed and the part is configuration coded. This is a configuration code that corresponds to the specified part number. It must be a valid configuration code on the Configuration Master File.
Purchase Order Line Reason Code
Optional. Used to define a status for the purchase order line. Codes are validated from the PO Line Reason Codes File category (N22). This code is maintainable after the line is closed.
PURCHASING UNIT OF MEASURE
Display only. Retrieved from the Item/Vendor Relationship File. If there is no Item/Vendor Relationship record, the value is retrieved from the Part Master File. If a reference part is used, any valid unit of measure can be assigned. In this case, the PU/SKU conversion factor fields are required unless the unit of measure is the already existing PU or SKU.
PURCHASING/STOCKKEEPING UOM CONVERSION FACTORS
Display only for non-reference parts (Required for reference parts). Defines the factors used to convert from purchasing units to stockkeeping units. Retrieved from the Item/Vendor Relationship File. If there is no Item/Vendor Relationship record, the values are retrieved from the Part Master File.
For reference parts, these factors depend on the Unit of Measure code used. If the SKU or selling UM code from the Part Master file, or the pricing UM from the Warehouse Balance file has been selected, these factors default and may be changed manually. If a UM code other than those listed above is used (must exist on Reference File category 005), these factors must be entered manually. Changing an already selected UM code will require manual entry of new conversion factors.
JOB/GROUP NUMBER
Optional (Adding a purchase order line). Display (Changing a purchase order line). The job/group number is displayed only if the Job Control module is installed and the part is job controlled. The job or job group associated with the purchase order line.
The job/group number must be either a valid job number (status cannot be Z - costing closed) on the Job Master File or a valid group as defined on Reference File category D47.
QUOTATION NUMBER
Optional. Used to retrieve a quotation to calculate the unit price based on the line target quantity. If entered, the Line Target Quantity also must be entered, the Quotation Number must correspond to an existing quotation for the item/vendor relationship in the Quotation File, the line Effectivity and Expiration Dates must be included within the quotation Effectivity and Expiration Dates, and the quotation currency must be equal to the purchase order currency. The Quotation Number and Unit Price cannot both be entered.
Quotations for the item/vendor relationship can be retrieved from a quotation list by pressing F4-Prompt.
The quotation number will default to the main quotation for the item/vendor. If a main quotation does not exist the field will default to blanks.
PURCHASE ORDER UNIT PRICE
Optional. Used to define the unit price of the part for the purchase order. If a quotation is used for pricing, this field will be automatically calculated based on the quotation terms. If entered for manual pricing, the Unit Price must be numeric and have three decimal places. The Quotation Number and Unit Price cannot both be entered. The Unit Price for a configured item is defaulted from the Configuration Master File for the specified part/configuration code combination.
ACCOUNT/CENTER
Optional (Add/change for Reference or Non-standard parts). Required (When the Requesting Department field is blank for Reference parts). This field is not displayed for non-stocked parts. Defines the inventory account/center to which the reference or non-standard part will be booked. If a non-stocked part, the non-stocked inventory account/center specified on Reference File category 452 (type 06) is booked. If the General Ledger module is installed, the account/center must exist on the Account/Center Master File. The General Ledger module is not installed, the account must exist Reference File category 113 (Account Description) and the center must exist on Reference File category 112 (Center Description).
EXPEDITE NOTICE TYPE
Required. Determines the type of expedite notice that will be used with the part on the purchase order. Must exist on Reference File category 473. For add transactions, the default is retrieved from the Item/Vendor Relationship File, if the relationship exists; otherwise, the default is retrieved from the Purchasing System Defaults 2 record on Reference File category 492.
EXPEDITE NOTICE LEAD TIME
Required. Used to calculate the date on which an expedite notice will be sent for each release related to the purchase order line, following the expedite notice type. Must be numeric and have two decimal places. If no expedite notice is requested, the lead time must be equal to zero. For add transactions, the default is retrieved from the Item/Vendor Relationship File, if a relationship exists; otherwise, the default is retrieved form the Purchasing System Defaults 2 record on Reference File category 492.
RECEIVING TYPE
Required. Indicates the steps that will be executed during the receiving process for the part. Must exist on Reference File category 475. The default is retrieved from the Item/Vendor Relationship File.
INSPECTION REQUIRED CODE
Required. Specifies the type of inspection required in the quality control phase, if one exists (as defined by the Receiving Type). Must exist on Reference File category 237. The default is retrieved from the Item/Vendor Relationship File, if a relationship exists; otherwise, the default is retrieved from the Part Master File.
PACKING TYPE
Required. Specifies the chargeability of the packaging. Must exist on Reference File category 474. For an add transaction, the default is retrieved from the Quotation File if a quotation is being used for pricing. If a quotation is used for pricing and the packing type of the type of the purchase order is not the same as that of the quotation, a warning message is displayed.
MAXIMUM LINE QUANTITY
Required. Defines the maximum authorized purchase quantity for the part. This value will be compared to the sum of the release quantities; if a release exceeds this value, an error message is displayed. Must be numeric and have the right number of decimal places.
REQUESTING DEPARTMENT
Required (for Reference parts when the Account/Center field is blank). Optional (for Non-stock parts). Defines the department which requested the part. Can be entered for reference items (Part Type = 5), for single or blanket orders, or for non-stocked items (Part Type = C). If entered, the part type must exist on Reference File category 470.
LINE TARGET QUANTITY
Optional. This field determines how to calculate the unit price when a quotation is used. If entered, it must be numeric and have the right number of decimal places. If the line target quantity is blank in add mode, it will default as the sum of the line release quantities. If a quantity is entered in add mode, it overrides the sum of the release line quantities. You can change this quantity to be any enterable amount, however, if it is changed to zero, it will remain zero and will assume that the base price was used. In this case, it will not sum the release line quantities.
VALUE ADDED TAX CODE/GOODS AND SERVICES TAX CODE
Display only in a VAT environment; Required in GST environment. Defines the tax processing for the part. The VAT code or GST code you enter must exist on Reference File category 230. The system retrieves a default value from the Item/Vendor Relationship File.
TAXABLE ITEM FLAG/PST TAXABLE FLAG
Display only. (Does not display in VAT environment.) (Field is PST Taxable in a GST environment and Taxable Flag in a non-VAT environment.) Defines the tax processing for the part. Valid values for the Taxable Item/PST Taxable flag are 'Y' (taxable) or 'N' (not taxable).
If the purchase order Tax Option equals 'A' (tax allowed), the field can be either 'Y' or 'N' for the Taxable Item/PST Taxable flag. If the purchase order Tax Option equals 'Y', tax required), the field can be 'Y'.
EFFECTIVITY DATE
Optional. Defines the beginning date of the purchase order line validity period. If not blank, must be a valid date greater than or equal to the Header Effectivity Date. The default is the Header Effectivity Date.
EXPIRATION DATE
Optional. Defines the ending date of the purchase order line validity period. If not blank, must be a valid date less than or equal to the Header Expiration Date. The default is the Header Expiration Date.
REFERENCE SALES ORDER/RELEASE NUMBER
Display only. Indicates the sales order and release that is associated with this purchase order. This field will only display if this line covers a requisition line tied to a sales order line.
REFERENCE SALES ORDER LINE NUMBER
Display only. Indicates the sales order line number that this purchase order line covers. This field will only display if this line covers a requisition line tied to a sales order line.
COMMAND KEYS
Enter - Process request.
F4 - Display a list of values for the field where the cursor is positioned. If you select one of the items from the list, it will be returned to the application screen.
F9 - Enter the Purchase Order Inquiry program.
F10 - Return to the Function Select screen without processing the entered data.
F11 - Display the Purchase Order Recap screen (PO180S09).
F23 - Display the Configuration Template window which allows you to view/modify the configuration code more easily.
