This is the second screen in the Multi-line Receipt Maintenance conversation.  It is used to validate receipt header information and detail receipt records entered in the subfile.  Additional receipt lines can be added to modify existing lines. Additional purchase orders can be entered by using F18-Multiple PO.

COMPANY/WAREHOUSE

Display only.  Identifies the company/warehouse currently being used.

RECEIPT NUMBER

Display only.  The purchase order receipt number currently being used.

RECEIPT DATE

Required (add receipt).  Display only (add to a receipt).  Used to record the acknowledgement date of goods delivery.  The default is the system date.  Must be a valid date prior to or equal to the system date.

PURCHASE ORDER TYPE

Display only.  Displays the type of the purchase order, which indicates whether the purchase order is blanket (multiple releases) or single (one release). Purchase order types are defined on Reference File category 437.

ORDER TYPE

Display only.  Displays the order type, which indicates the destination of purchased goods.  Purchase goods may be shipped to the warehouse or directly to the customer.  Order type codes are defined on Reference File category 401.

BILL OF LADING NUMBER

This field is used to record the bill of lading number related to the delivery.  If entered, it must be left justified.

The BOL number is required if any of the following conditions are true:

If the BOL flag on Reference File category D32 is set to N but the BOL flag on Reference File category 233 is set to Y, then the bill of lading number is required for purchase order receipts having a vendor with the vendor group code that is specified on Reference File category 233.

If the BOL flag on Reference File category D32 is set to Y (regardless of the value of the BOL flag on Reference File category 233), then the bill of lading number is required for purchase order receipts for the associated company/warehouse that was entered on the Function Select screen.

The BOL number is optional if any of the following conditions are true:

If the BOL flags on Reference File categories D32 and 233 are both set to N.

If the vendor on the purchase order receipt has no associated vendor group and the BOL flag on Reference File category D32 is set to N, then the BOL number is optional for purchase order receipts for the associated company/warehouse that was entered on the Function Select screen.

The BOL number is display only if you are closing a purchase order receipt.

CARRIER NAME

Optional.  Used to record carrier name for memo purposes.  If entered, must be left-justified.

BILL OF LADING DATE

Enter the date that is printed on the vendor’s bill of lading.  You must use the date format that is defined on Reference File category 049. 

The BOL date is required if any of the following conditions are true:

If the BOL flag on Reference File category D32 is set to N but the BOL flag on Reference File category 233 is set to Y, then the bill of lading date is required for purchase order receipts having a vendor with the vendor group code that is specified on Reference File category 233.

If the BOL flag on Reference File category D32 is set to Y (regardless of the value of the BOL flag on Reference File category 233), then the bill of lading date is required for purchase order receipts for the associated company/warehouse that was entered on the Function Select screen.

The BOL date is optional if any of the following conditions are true:

If the BOL flags on Reference File categories D32 and 233 are both set to N.

If the vendor on the purchase order receipt has no associated vendor group and the BOL flag on Reference File category D32 is set to N, then the BOL date is optional for purchase order receipts for the associated company/warehouse that was entered on the Function Select screen.

IDENTIFICATION TAG RELEASE CODE

Required.  This field is not displayed for a direct ship purchase order.  Used to define when the identification tags will be released.  Must exist on Reference File category 484.  The default value is retrieved from the Purchasing System Defaults 2 record on Reference File category 492.

CLOSE PURCHASE ORDER FLAG

Required.  Used to define if the Purchase Order is to be automatically closed after the receipt transaction.  The default value is retrieved from the Purchasing System Defaults 1 record on Reference File category 491.  Valid values are Y (Yes) or N (No).

CLOSE PURCHASE ORDER LINE FLAG

Defaults from the Meet Tolerance flag on the PO Close Authorization Reference File category (D78) but can be changed during PO receipt entry and maintenance.  If the flag is set to ‘Yes’ and the quantity received against a line reaches the tolerance specified on the Close Tolerance Percent field in D78, then the line and its associated releases will be closed.

TRANSACTION DATE

Required.  Must be a valid date prior to or equal to the system date.  Defaults to the system date.

PURCHASE ORDER NUMBER

Display only.  The purchase order number associated with the receipt line that is currently being used.  A list of purchase orders on this receipt can be displayed by pressing F18-Multiple PO.  If no receipt lines have been posted yet, additional purchase orders can also be entered.  A purchase order cannot be entered here if it does not exist in the Multiple PO Receipt Information window (which is accessed by pressing F18).

PURCHASE ORDER LINE NUMBER

Optional (add receipt).  Display only (add to a receipt).  Used to record the purchase order line related to the receipt line.  Must be an existing line on the Purchase Order Line File, or blank.  If blank, a Part Number must be entered.  The default value is retrieved from the Purchase Order Files.

RECEIPT LINE STATUS

Required.  Defines the status of the receipt line that is being added or maintained.  The default value is O (Open).  It can only be changed to C (Closed) if the Received Quantity equals 0.

PART NUMBER

Optional (add receipt).  Display only (add to a receipt).  If not entered, a Purchase Order and a Purchase Order Line Number must be entered.  If a Part Number is entered and a Purchase Order and a Purchase Order Line are entered, they must be consistent and belong to a unique purchase order line.

If the received part is a reference part and the Display Description flag for this plant/part number combination is set to 'Y' on Reference File category N34, the part description is displayed rather than the part number.  This functionality helps distinguish different items purchased using the same reference part number.  Only the first 15 characters of the part description can be displayed due to the limited length of the Part Number field.

RECEIVED QUANTITY

Required.  Used to record the received quantity.  If changing a receipt, the received quantity defaults to the quantity previously received.  This amount plus the balance due gives you the Order Quantity for the Purchase Order.  Any amount entered on this line will be treated as an addition to the quantity previously received.  Use the Receipt Adjustments program to change receipt entries.  The Received Quantity field must be numeric and have the correct number of decimal places.  If you enter an amount in this field that is greater than the amount in the Balance Due field, a warning message will be displayed and the field will be reverse highlighted.

JOB NUMBER

Display only.  Displays the job number entered for the receipt.

CONFIGURATION CODE

Display only.  This is the configuration code associated with the part number.

BALANCE DUE

Display only.  Defines the balance remaining to be received to the PO line.

PURCHASING UNIT OF MEASURE/STOCKKEEPING UNIT OF MEASURE

Required (when adding or adding to a receipt).  Display only (Add to a receipt when quantity control is performed).  Used to enter the unit of measure in which the Listed Quantity is expressed.  It can only be changed to the stockkeeping or purchasing unit of measure codes for that part.

STOCK LOCATION

Optional (unless adding a new receipt line then required).  Defines the area in the warehouse to which the parts will be moved to wait for quality control or to enter directly into inventory.  The primary stock location for the part defaults from the Part Master File into the field.  You may, however, enter a different stock location in the field.  If the part does not have a primary stock location, the field will be blank and you must enter a stock location that exists on the Location Validation File.  You may not enter all nines.  If the Receipt Type Quality Control flag and the Quality Control Location Utilized flag on Reference File category 475 both equal Y (yes), the Stock Location must be equal to the quality control stock location.

If the Stock Location is left blank and the part is designated as being Location Controlled on the Warehouse Balance file, then the first empty location controlled stock location for company/warehouse will be defaulted in when the Enter key is pressed.

BALANCE TYPE

Optional (unless adding to a receipt).  Used to allow on-hand inventory to be separated into different classifications defined during system installation.  Must be one of the balance types defined on the System Control File.  If the Quality Control Location Utilized Flag on Reference File category 475 equals Y (yes), the balance type must be equal to the quality control balance type defined on Reference File category 481.

Once entered, this field cannot be changed unless the received quantity is set to zero.

LOT NUMBER

Optional (unless adding a new receipt line then required for lot-controlled parts).  Used to record the internal lot number.  You have several options:

o  You may enter an existing lot number in this field.  The Vendor Lot Number and the Lot FIFO Date must be equal to the current Lot Control File values.  If these values are blank on the Lot Control File, they must be entered on this screen.  Furthermore, the lot type must be purchased (P) and the related lot status must be open (O).

o  You may create a new lot by entering a new lot number in this field.

o  If Automatic Lot Number Assignment has been set to Y (yes) in Reference File category Y34, a lot can be assigned automatically using the next available lot number.

o  If Automatic Lot Number Assignment has been set to N (no) in Reference File category Y34, a new lot number will not be assigned automatically.  You may, however, enter either an existing lot number or a new lot number in this field.  If you enter a new lot number in this field and press Enter, the lot number will be added to the Lot Control File (IC150M).

If the lot is on hold, an error message is displayed, and the lot is reverse imaged.  No inventory may be issued from or received into a lot that is on hold.

LOT FIFO DATE

Optional (unless adding a new receipt line then optional).  Used to record the entry date.  If the Lot Number field has been entered and does not exist on the Lot Control File, this field must not be blank.  If the Lot Number does exist on the Lot Control File, this field must be equal to the Lot Control File value.  If this value is blank, the Lot FIFO Date must be entered here.

VENDOR LOT NUMBER

Optional.  Used to record the vendor lot number.  If the Lot Number field has been entered and does not exist on the Lot Control File, this field must not be blank.  If the Lot Number does exist on the Lot Control File, this field must be equal to the Lot Control File value.  If this value is blank, the Vendor Lot Number must be entered.

NUMBER OF TAGS

Required.  Used to determine the number of inventory tags to be printed.  The tags printed allows the users to enter the quantity unlike printing of tags with the parcel function.  The default value is zero.

SHORTAGE FLAG

Display only (add, change).  Used to indicate if the current stock level of the part is insufficient for production requirements.  See extended text for a description of how the system sets the shortage flag.

SELECT

Optional.  Used to select a line for adding or changing comments when F12-Display Comments is pressed.  The Select field must be 'X' when entered.  Only one line may be selected at a time.

COMMAND KEYS

Enter - Process request.

F2    - Display a window where a fast path option or mnemonic can be entered.  Fast path allows the next menu selection to be made directly from this screen.  When the window is displayed, pressing F3 will remove it.

F3    - Exit program and process request.

F4    - Display a list of values for the field where the cursor is positioned.  If you select one of the items from the list, it will be returned to the application screen.

F10   - Display the Multi-line Receipt Maintenance Select screen (PO270S01).

F12   - Display the Multi-line Receipt Maintenance Comment screen (PO270S03).  If a receipt detail line is selected, the comment screen for a detail line is displayed.  If no receipt detail line is selected, the comment screen for the receipt header is displayed.

F14   - Display the Expanded Configuration Code window which allows you to view the expanded description for a part/configuration code combination.

F15   - Reinitializes the fields and allows users to reenter data.

F18   - Display a list of purchase orders covered by the PO receipt.  This list is maintainable in add mode and display only in inquiry mode.

F20   - Positions the cursor on the next enterable receipt detail line in the subfile.

F21   - Toggles the display between the PU quantity and the SKU quantity so that you have the option of entering the receipts in either PU or SKU.

F24   - Display additional command keys that are valid for the current screen.
