Resolution Procedures

 

Similar processing is done for all EDI Exception processing:  EDI sales order exceptions, EDI purchase order acknowledgment exceptions, and EDI receipt exceptions.  Procedures for performing each of these functions are outlined below.

Resolving Sales Order Exceptions

1.   Review the Sales Order Generation Exception report (ED520A).

2.   Choose the Inbound Sales Order Exception Resolution option from the Electronic Data Interchange Menu.  The EDI Sales Order Exceptions Function Select screen (ED150S01) is displayed.

3.   Select the transaction you want to correct.  Place an 'X' beside the transaction and press the Enter key.  To change the criteria for listing exception transactions, press the Criteria key (F19).  You may use the following criteria or any combination of the criteria for listing these transactions:  company/warehouse, bill-to customer, and customer purchase order number.  If the exception type is 1 , the program will display the Header Exception Detail screen (ED150S04).   If the exception type is 2, the program will display the Line Exception Detail screen (ED150S06).  If the exception type is 3 or 4, the program will display the Comments Exception Detail screen (ED150S05).  If the exception type is 5, the program will display the Options Exception Detail screen (ED150S08).  If the exception type is 6, the program will display the Multi-Site Order Exception Detail screen (ED150S07).

4.   Identify the field in error and make the appropriate correction.  Note that some of the key fields cannot be changed.  If you are processing a header-level or multi-site level error and the transaction error occurs on one of these non-editable fields, you must delete the entire transaction.  If you are processing a line-level, comment-level, or option-level error, you can choose to delete the entire transaction or delete a single line or comment.  To delete an entire transaction, use the Delete Order key (F14).  To delete a single line or comment for a transaction, use the Delete Line/Comment key (F18).

Note:    If you delete the entire transaction in error, all information associated with the sales order will be deleted (i.e., header and line records), and the transaction must be resent.  If you delete a line or comment for a transaction, only the line and its associated details will be deleted.  The remainder of the order will be resubmitted for processing.

5.   Once the error has been corrected, rerun the EDI Sales Order Generation request if the monitor has not been initiated.

Resolving Purchase Order Acknowledgment Exceptions

1.   Review the Purchase Order Acknowledgment Header/Line Exception reports (ED500A, ED500B).

2.   Choose the Inbound Purchase Order Acknowledgment Exception Resolution option from the Electronic Data Interchange Menu.  The EDI Purchase Order Acknowledgment Exceptions Function Select screen (ED110S01) is displayed.

3.   Select the transaction whose error you want to correct.  Place an 'X' beside the transaction and press Enter.  Depending on the exception type (1 or 2) the header or detail information is enterable on the Header/Line Detail Maintenance screen (ED110S04).

4.   Identify the field in error and make the appropriate correction.  Note that some of the key fields cannot be changed.  If the transaction error occurs on one of these fields, you must delete it and have the transaction resent.  To delete a transaction, use F14-Delete.  This action will delete only the acknowledgment line being processed.

Note:          If you delete a transaction line in error, only the current acknowledgment line will be deleted.  If the header record is deleted, all associated lines will also be deleted.

5.   Once the error has been corrected, rerun the EDI Purchase Order Acknowledgment request.

Resolving Receipt Exceptions

1.   Review the Purchase Order Receipt Header/Line Exception reports (ED510A, ED510B).

2.   Choose the Inbound Purchase Order Receipt Exception Resolution option from the Electronic Data Interchange Menu.  The EDI Purchase Order Receipt Exceptions Function Select screen (ED130S01) is displayed.

3.   Select the transaction whose error you want to correct.  Place an 'X' beside the transaction and press Enter.  If the exception type is 1 or 2, the program will display the Header/Line Detail Maintenance screen (ED130S04).  If the exception type is 3 the program will display the Lot/Line Detail Maintenance screen (ED130S05).

4.   Identify the field in error and make the appropriate correction.  Note that some of the key fields cannot be changed.  If the transaction error occurs on one of these fields, you must delete it and have the transaction resent.  To delete a transaction, use F14-Delete.  This action will delete the entire receipt transaction.

Note:    If you delete the transaction in error, all information associated with the purchase order receipt will be deleted (i.e., header and line records).

5.   Once the error has been corrected, rerun the EDI Purchase Order Receipt request.
